Facility reservations for approved uses by groups authorized by Fork Union Military Academy will be made and held subject to the following conditions:
A signed and dated agreement must be received by Fork Union Military Academy no later than 30 days before the planned event. The necessary reservation deposit must be received by Fork Union Military Academy by the mutually agreed date for the space to be reserved.
The Renter must supply Fork Union Military Academy with a certificate of commercial general liability insurance issued by an insurer authorized to conduct business in the Commonwealth of Virginia. The insurance limit must be no less than $1,000,000 per individual and $3,000,000 in aggregate. The insurance must include contractual liability coverage that names Fork Union Military Academy as an additional insured party. The policy must state that it cannot be terminated without a thirty-day prior written notice to Fork Union Military Academy. The Renter must deliver the insurance certificate to Fork Union Military Academy no later than fourteen business days before occupying and/or using the premises as per this agreement. If the Renter fails to provide the certificate or maintain the insurance, Fork Union Military Academy may, but is not obligated to, secure such insurance on the Renter's behalf. In this case, the Renter must reimburse Fork Union Military Academy for all insurance costs.
If the assistance of a Fork Union Military Academy staff member, such as a custodian or electrician, or any audio-visual equipment is required during the event, a separate fee will be included in the final invoice as outlined in our rental fee summary sheet, available upon request.
No food can be served or sold unless it is provided by the food service at Fork Union Military Academy, and approved by both Fork Union Military Academy and its food service provider, Sage Dining Services. Food and beverages are not permitted inside Wicker Chapel.
Failure to adhere to the aforementioned conditions will lead to the revocation of facility bookings. Additional requirements, guidelines, and regulations are detailed in the contract.
