Mitigation Plan for COVID-19 Concerns

Our staff, which includes our head nurse, Dean, Commandant, Athletic Director, Director of Support, Deputy Chief of Staff, and Chief of Staff, has been working in close cooperation with the Thomas Jefferson Regional Health District of the Virginia Department of Health to develop appropriate guidelines regarding COVID-19.  These guidelines are developed from various resources, including the applicable CDC recommendations. 

Our COVID-19 Opening Mitigation Plan was submitted to the Virginia Council for Private Education in mid-July, as required by our state officials, and our plan was accepted.

Our overall mitigation plan and efforts continue to evolve to meet the changing conditions and guidelines. Here are the highlights of our mitigation plan as things currently stand.  Our Plan will necessarily evolve.  If you have specific questions, please contact LTC Steve McCoy at (434) 842-4406 who will either answer your question or direct you to the best person to respond to your specific question.

COVID-19 Mitigation Plan

Effective as of July 20, 2020 - Subject to Change Without Notice

 

Communications

  • The Academy will continue to communicate regularly with families  to orient and train regarding the Academy's COVID-19 mitigation strategies, new or revised policies, and will communicate with families regularly regarding our plan and our progress.
     

 

Admissions Check-In

  • Families will schedule their check-in date and time slot through the Online Admissions Parent Portal. Time slots will be limited to 25 families.
     
  • Upon arrival, the parking attendant will give families a symptoms check form, assigned parking zone, and parking space based on their scheduled appointment.
     
  • Families will remain in their vehicles until an admissions attendant is ready for the family to begin the check-in process.
     
  • During the check-in process (which will be held in Wicker Science Center), families are permitted only one parent/guardian to accompany their son.
     
  • While indoors, all persons are required to follow current face covering laws, physical distancing protocols, signage, and document signing procedures to mitigate the safety of the environment.
     
  • Hand sanitizing and cleaning practices will be completed after each family.
     
  • Check-in stations will be completed in separate classrooms and hand sanitizing stations will be at the entrance of each room. Separate entrances and exits will be maintained in each area.
     
  • After completion of the check-in process, families will return to their vehicle and drive to their son's assigned company within the barracks.
     
  • Only cadets or an employee of the Academy will be permitted to move items into an assigned room.
     
  • After their son has moved-in, parents will say their goodbyes and depart campus.
     

 

Infirmary

  • Staffed 24 hours with a registered nurse.
     
  • Academy Physician on call Monday through Friday. Academy Physician holds sick call on campus each morning, Monday through Friday.
     
  • Physician's contracted lab company provides COVID-19 and antibody testing for students with a turnaround time of appoximately 72-hours on testing.
     
  • Infirmary has a capacity of approximately 10% of the student population including three isolation rooms with additional rooms possible, as necessary.
     
  • Clear communication and signage will be in place.
     
  • Students experiencing illness-related symptoms will use a separate entrance/exit.
     
  • Students receiving routine medications will be provided a separate entrance/exit, with a plan in place to relocate to another building as necessary.
     
  • The Infirmary staff will work directly with the Thomas Jefferson Regional Health District of the Virginia Department of Health regarding any positive cases on campus to complete an investigation, contact trace, and consult on next steps.
     

 

Residence Life / Military

  • Will take steps to ensure that Fork Union Military Academy's cadet corps structure and military activities will be maintained in safe manner.
     
  • Daily symptom and temperature checks will be completed each morning in the barracks for each student to assist with contact tracing, as necessary.
     
  • Ongoing student health training initiatives for students will be in place to communicate CDC guidelines on COVID-19 prevention.
     
  • Single-occupancy rooms can be requested on a first come, first served basis for families who have submitted their enrollment contract and paid their registration fee. Fork Union Military Academy has reserved 75 single-occupancy rooms for the 2020-2021 academic year.
     
  • Shared rooms between two roommates will adhere to physical distancing requirements between each student's personal desk. Bunk beds are built for physical distancing, and students will be required to follow head to toe guidelines to increase distancing while sleeping.
     
  • Supervised student cleaning plan will be practiced daily of high touch surface areas in both the student's room and bathrooms.
     
  • Additional hand sanitizing stations will be placed on the inside and outside of each entrance/exit door.
     
  • Clear communication and signage will be in place.
     
  • Students may be permitted to visit other cadets in their rooms following face covering laws in place at that time and physical distancing protocols.
     
  • Proper physical distancing measures will be implemented to ensure appropriate spacing between students.
     
  • No company will exceed the allowable number of students in one area outside.
     
  • When physical distancing cannot be maintained, students will wear face coverings during this time as required by Virginia law.
     
  • Weekend leaves will be announced one term at a time after evaluating the current COVID-19 environment. No leaves are currently planned for Term 1. Fork Union Military Academy reserves the right to place restrictions on weekend leave travel to areas affected by COVID-19.
     
  • Boarding students' travel off-campus will be limited between 13 August 2020 and 27 August 2020.
     
  • Day students will be requested to limit travel to between home and school only between 13 August 2020 and 27 August 2020.
     
  • Certain adjustments to the Academic Calendar have already been made and published.   FUMA reserves the right to make additional changes as may be necessary.
     

 

Academics

  • Will take steps to ensure that in-person classroom education can be delivered in a safe manner.
     
  • Teachers will get classroom designs approved. Designs will ensure proper physical distancing measures of six feet between desks.
     
  • When students or instructors are working in groups and cannot maintain proper physical distancing all persons are required to follow current face covering laws.
     
  • Teachers will maintain seven feet of distancing while instructing the class. When a teacher is unable to maintain proper physical distancing, all persons are required to follow current face covering laws.
     
  • Disposable face coverings will be provided to each teacher for students or visitors in the instance they have misplaced theirs.
     
  • Teacher/Student cleaning plan will be completed at the conclusion of each class day or event held in the classrooms.
     
  • Clear communication and signage will be in place.
     
  • Digital textbooks and digital media will be utilized when possible using an online platform to minimize sharing of texts/media.
     
  • Will practice distance education skills with teachers and students each week.
     
  • Will prepare to pivot to virtual learning delivery through distance education should conditions warrant.
     
  • Students will not be permitted to share their laptops.
     
  • Maintenance staff will increase the cleaning of bathrooms located in academic buildings throughout the class day.
     
  • Hand sanitizing stations are located in each classroom near the entrance/exit of each room.
     
  • Staff and faculty will complete and report a daily symptom check to their immediate supervisor (director).
     

 

Chapel/Sunday Services

  • Daily chapel will be held initially through a virtual platform (to comply with gathering size restrictions).
     
  • Sunday Chapel will be held in distinct sessions, at least initially.
     
  • Events held in the Chapel will require face masks and social distancing.
     

 

Athletics

  • Will take steps to ensure we can provide a robust athletic program with meaningful competition in safe manner.
     
  • Hand sanitizing stations have been located at the entrance/exit of all locations in the Estes Athletic Center.
     
  • Supervised cleaning plan will be practiced daily of high touch surface areas to include used equipment and locker spaces.
     
  • Clear communication and signage will be in place.
     
  • Increased cleaning practices will be used including the use of a fogging sanitizer daily in each of the locker rooms and weight rooms. The addition of the fogging will help to sanitize personal and shared equipment used for practices and weightlifting equipment, benches, etc.
     
  • All student-athletes and coaching staff should wear masks as appropriate upon entering and exiting facilities as well as when not participating in exercises
     
  • Staggered release of athletes from practice will be put in place for use of the locker rooms and showers to limit the number of students in these spaces.
     
  • There should be no shared athletic towels, clothing, or shoes between student-athletes.
     
  • Students will utilize their personal canteen for hydration purposes during practices.
     

 

Dining Hall

  • Will take steps to ensure that positive food choice is maintained for cadets in a safe manner. We are actively adapting to our food service spaces to offer as many options as possible. Some of these changes may take time to ensure appropriate measures are in place as some of the recommendations change quickly. This includes areas such as our salad bar, cereal dispensers, and other choice options.
     
  • All staff will be required to wear a face covering and gloves during food preparation, serving of food, and cleaning equipment, tables, etc.
     
  • Limit the number of persons to each table to ensure current physical distancing requirements. Fork Union Military Academy can update as necessary to meet current guidelines.
     
  • Limit dining occupancy to meet applicable guidelines. Fork Union Military Academy can update as necessary to meet revised guidelines.
     
  • Supervised cleaning plan will be practiced in preparation for each scheduled service of high touch surface areas, kitchen equipment, serving lines, and dining facility.
     
  • Additional hand sanitizing stations will be placed on the inside of each entrance/exit door.
     
  • Clear communication and signage will be in place.
     
  • New plexiglass serving line shields have been installed.
     

 

Library

  • Maximum occupancy for each room will be set and updated in compliance with current physical distancing requirements.
     
  • A supervised cleaning plan will be practiced daily of high touch surface areas to include computer labs, books, and bathrooms.
     
  • Additional hand sanitizing stations will be placed throughout the facility where bathrooms are not accessible in each room.
     
  • Clear communication and signage will be in place.
     

 

Social Center/Activities

  • Will take steps to ensure that positive activities and free time recreation can take place in a safe manner.
     
  • Maximum occupancy for each room will be set and updated in compliance with current physical distancing requirements.
     
  • A supervised cleaning plan will be practiced daily of high-touch surface areas in gaming rooms, movie rooms, and bathrooms.
     
  • Additional hand sanitizing stations will be placed throughout the facility where bathrooms are not accessible in each room.
     
  • Clear communication and signage will be in place.
     
  • Optional social activities will be considered on a case by case basis.
     

 

Maintenance

  • Have performed checks on all safety, water, and ventilation systems.
