Maintenance Department  Administrative Assistant

Essential Job Functions and Requirements:

Maintaining the organizational integrity of the maintenance department, responsible for:

  • ·         Assisting in receiving and prioritizing daily work orders for campus maintenance needs.
  • ·         Evaluating and organizing purchase invoices for maintenance supplies.
  • ·         Serving as a communications bridge between campus and the maintenance staff
  • ·         Assisting the Director in overseeing the daily work schedules of maintenance staff members.
  • ·         Keeping detailed records of various things such as warranty information, vehicle information, vendor contracts.
  • ·         Implementing and evaluation of the maintenance participation of special event calendar for the Academy.
  • ·         Compiling throughput statistics for fuel oil throughput for boiler plant.
  • ·         Management of Swipeclock and Payroll functions.
  • ·         Maintain attendance records.

Special Tasks: The Administrative Assistant must possess the technological skills necessary to manage multiple databases, as well as the organizational skills necessary to manage the yearly maintenance and special events calendar.  Basic knowledge of various building systems is a benefit to the position.

Work Schedule:  The Administrative Assistant must work a standard 40 hour work week, and must be available as needed to work at special events on and off campus. 

Educational Requirements:  The Administrative Assistant must possess a high school diploma.
